Prep Image(s) for Story

Using Adobe Photoshop, you will need to crop and save the main image for the story in three different sizes:

  • 940x529

  • 790x527

  • 365x365

Instructions

1. Using a web browser, go to http://cms.miami.edu. Log in using your CaneID and password, then click on the Sign In button.

2. To view the news site’s content, click on the Site dropdown at the upper left corner of your Dashboard. Select your site, e.g. ACAD-GRAD-news.miami.edu or ACAD-ADMIS-news.miami.edu

3. Once you are viewing the site content, click on the _assets folder. Navigate to the images/images-stories folder. Continue navigating until you reach the folder for the appropriate year/month.

Expand/collapse the folder by clicking on the folder name. To enter the folder, click on the arrow to the right of the folder name.

4. Look for a red plus sign in the topmost header area of the page and click on Add Content. Inside the Add Images and PDFs folder, select Image from the dropdown menu.

5. Drag and drop the first image into the window or choose it from your computer. The File Name will automatically populate with the file name previously given to the image in Photoshop. Fill in the Alternative Text (img ALT tag).

The File Name should include the image dimensions at the end—e.g., student-center-480x320. This will help when you are inserting the image into the story. The purpose of Alternative Text is to provide a description of the contents of an image file. One of the most common uses of Alternative Text is to provide text for visitors who can't see images in their browsers.

6. Click Preview Draft. After the preview, click Submit, then click Submit again. Repeat this process for the other two versions of the photo.

7. Navigate to the stories folder. Continue navigating until you reach the folder for the appropriate year/month.

8. Look for the red plus sign in the topmost header, and click on Add Content. Inside the Add Stories folder, select News Item from the dropdown menu.

9. Begin filling out the fields for the News Item.


Fields to Fill Out for Each News Item

Metadata Section

  • Page Name: Populate the field with the story’s headline. It should be lowercase separated by hyphens, without underscores, special characters (#$%$%^&), or any spaces—e.g., story-headline-separated-by-hyphens.

  • Display Name: Paste in the story’s headline here. The headline should be in sentence case (not all caps). Special characters and spaces are allowed in this field.

  • Title: Paste in story’s headline here. The headline should be in sentence case (not all caps). Special characters and spaces are allowed in this field.

  • Keywords: Enter keywords/tags for this story. Separate multiple words with commas.

  • Description: Paste in the story’s abstract here.

Call to Action Section

  • Call to Action: The checkbox to enable the call to action feature is checked by default. If you do not wish to have this feature active, remember to uncheck the box.

  • Bridge Story: The bridge story feature is an option that allows you to create bridging lead-in content from another news story. Choose a Page from one of our existing news subsites —e.g., Alumni, Architecture and Nursing.

There are certain fields that can be overridden by the user when creating a bridge (Headline, Abstract, Story Date and Images). If you leave them blank, the story and the contents of those fields will be brought over as they appear in the original.

  • Headline: Paste in the story’s headline here. The headline should be in sentence case (not all caps). Special characters and spaces are allowed in this field.

  • Author: Select the author of the story from a list of predefined authors. If the authors name does not appear in the dropdown, place your cursor in the field, press the delete key, and type in the new author’s name.

  • Abstract: Paste in the story’s abstract here.

  • Location: Paste in the story’s location here—e.g., CORAL GABLES, Fla.

  • Display Location: The checkbox to display the location is checked by default. If you do not wish to have this feature active, remember to uncheck the box.

  • Story Date: Select the story’s date from the date picker.

  • Internal Comments: Use this section to make any notes to yourself or other CMS users. This section will not display on the website.

Image Section

  • Image: Select the three images you cropped in Photoshop, and uploaded to the images/images-stories folder -– Main Image 16:9 (940 x 529), Medium Image 3:2 (790 x 527), and Small Image 1:1 (365 x 365).

  • Caption: Enter the caption for your image(s) in this area.

Main Topic Section

  • Main Topic: Select the topic(s) that you wish the story to fall under. You can choose more than one. Depending on which topic you select, some sub topics may appear.

Contains Media Section

  • Contains Media: If your story will include a YouTube or Vimeo video, a slideshow from PhotoShelter (or equivalent), or an audio file, check the appropriate box.

Target Audience Section

  • Target Audience: What audience is your story trying to reach? Check all that apply.

Display Group Section

  • Hide Lead Art on Interior Pages: Check this box if you would like to hide the 940x529 image from your story. This will hide the main image from the top of your story and will move the headline up.

  • Hide this item from News Home: Check this box if you would like to hide your story from the news feed on news.miami.edu.

  • Hide this item from News Gateway Pages: Check this box if you would like to hide your story from the Topics landing pages—e.g., Academics, Arts & Humanities, Business, etc.

Schools and Colleges Section

  • Schools and Colleges: Does your story mention any schools and colleges? Check all that apply.

Schools and colleges with news subsites, must always pick their school from this section, e.g. The Graduate School must select The Graduate School in order to select sub-topics, such as Grad Students and Grad Events.

Administrative Areas Section

  • Administrative Areas: Does your story mention any administrative areas? Check all that apply.

Body Section

  • Redirect: Do you want to enable a redirect-i.e., when your story loads, it immediately sends you to a story on another site? If so, check the Enable Redirect box and choose the link for the page. This feature allows you to push the user to the other site and eliminate the need to copy the whole story into the main site.

  • Top Content & Bottom Content: The body of the story can be separated into two sections – Top Content, and Bottom Content. Both areas do not have to be used for the story to be published. Add the main body copy for your story in these sections and use the WYSISYG editor to format your story as needed.

To ensure proper formatting, select all the story copy and then click on Formats » Blocks » Paragraph.

  • Embed Slideshow: Insert the embed code for a slideshow—e.g., the embed code from PhotoShelter.

On small viewports (if you inserted a slideshow or call to action buttons), whatever was inserted into the Top Content will display above the slideshow and/or call to action buttons, and whatever was inserted into the Bottom Content will display below.


10. Click Preview Draft. After previewing the draft, click Submit to save the page to CMS.

11. The story has been successfully saved to the CMS. You must now Publish your story.

12. Select one or more of the outputs to Publish to the destinations selected.
